1. Introduction

DAXTOP is a retail sales management platform designed to help businesses streamline and automate their sales operations. Our platform includes an integrated AI assistant that responds to user queries in real time, an inventory management system, a point-of-sale interface, and financial reporting tools.

We are committed to protecting the privacy of our customers and their end users. This policy applies to all data processed through DAXTOP's cloud-based services, including data entered by store operators, sales staff, and customers interacting with DAXTOP-powered systems.

By using DAXTOP, you agree to the collection and use of information as described in this policy. We encourage you to read this document carefully and contact us if you have any questions.

2. Data We Collect

DAXTOP collects several categories of data in order to provide its services effectively. The data we collect depends on how you use the platform and which features are enabled in your account.

2.1 Business and Account Data

When you register a DAXTOP account, we collect information such as your business name, tax identification number, contact details, billing information, and the names of authorized users within your organization. This data is required to create and maintain your account and to process payments.

2.2 Sales and Transaction Data

Every sale, return, exchange, and payment processed through DAXTOP is recorded. This includes product identifiers, quantities, prices, discount codes, payment methods, timestamps, and the identity of the staff member who processed the transaction. This data is essential for financial reporting, inventory tracking, and audit purposes.

2.3 Customer Data

If your DAXTOP configuration includes a customer loyalty or CRM module, we store customer names, contact information, purchase history, and preferences on your behalf. You are the data controller for this information, and DAXTOP acts as the data processor. You are responsible for obtaining appropriate consent from your customers before entering their data into the platform.

2.4 Inventory and Product Data

We store your product catalog, stock levels, supplier information, and purchase orders within DAXTOP. This data is managed entirely by your team and is used to power inventory reports and automated stock alerts.

2.5 AI Interaction Data

DAXTOP includes a built-in AI assistant that responds to questions about sales trends, inventory status, staff performance, and other business metrics. When you or your staff interact with the AI assistant, the content of those queries is processed in order to generate accurate responses. Query content may be retained temporarily to improve response quality.

2.6 Usage and Technical Data

We automatically collect technical data when you use the platform, including IP addresses, browser or device type, session durations, feature usage patterns, and error logs. This data helps us monitor system performance, diagnose issues, and improve the platform.

3. How We Use Your Data

DAXTOP uses the data it collects exclusively to operate and improve the platform. We do not use your business data for advertising, profiling, or any purpose unrelated to the services you have contracted.

Specifically, we use your data to provide and maintain the DAXTOP platform and its features; to process payments and manage your subscription; to generate the reports, analytics, and AI-powered insights you request; to send technical notifications, security alerts, and service updates; to investigate and resolve technical issues or disputes; and to comply with legal obligations applicable to DAXTOP as a data processor.

The AI assistant uses the data available within your account — such as sales history and inventory records — to answer your queries accurately. It does not access data from other DAXTOP customers, and it does not combine your data with external datasets for training or commercial purposes.

4. Data Sharing and Third Parties

DAXTOP does not sell, rent, or trade your business data or customer data to any third party under any circumstances.

We engage a limited number of trusted sub-processors to support the delivery of our services. These include cloud infrastructure providers for hosting and storage, payment processors for billing, and email delivery services for transactional notifications. All sub-processors are contractually bound to process data only on our documented instructions and in compliance with applicable data protection law.

We may disclose data if required to do so by a valid legal order, court ruling, or regulatory authority. In such cases, we will notify you to the extent permitted by law before any disclosure takes place.

In the event of a merger, acquisition, or sale of DAXTOP's business, customer data may be transferred to the acquiring entity. You will be notified in advance of any such transfer, and the receiving entity will be required to honor the terms of this policy.

5. Data Retention

We retain different categories of data for different periods, based on their purpose and applicable legal requirements.

Sales and transaction records are retained for a minimum of seven years in accordance with financial and tax regulations. Inventory and product data is retained for the duration of your active subscription. Customer data stored through DAXTOP's CRM module is retained while your account is active and deleted within thirty days of a verified deletion request, unless legal obligations require longer retention.

AI interaction logs are anonymized and aggregated within ninety days. After anonymization, no query can be linked back to an individual user or business. Technical logs and usage data are retained for up to twelve months for diagnostic purposes.

When your DAXTOP subscription ends, we will retain your data for a transition period of sixty days, during which you may export it. After this period, all data associated with your account will be permanently deleted from our systems, unless we are legally required to retain it.

6. Your Rights

As a DAXTOP customer, and as a business that controls the personal data of your customers within our platform, you and your users have the following rights under applicable data protection law.

You have the right to access any personal data we hold about you or that you have entered into the platform. You have the right to correct inaccurate or incomplete data at any time through your account settings or by contacting us. You have the right to request the deletion of your personal data, subject to legal retention obligations. You have the right to receive your data in a structured, machine-readable format for transfer to another service. You have the right to object to or restrict certain types of data processing. You have the right to withdraw consent where processing is based on consent, without affecting the lawfulness of prior processing.

For requests relating to the personal data of your customers stored within DAXTOP, you remain the data controller and are responsible for responding to those individuals directly.

7. Security Measures

DAXTOP implements industry-standard technical and organizational measures to protect data against unauthorized access, loss, alteration, or disclosure. All data transmitted between your devices and DAXTOP servers is encrypted using TLS. Data stored in our systems is encrypted at rest using AES-256. Access to production systems is restricted to authorized personnel and governed by role-based access controls and multi-factor authentication.

We conduct regular security assessments, vulnerability scans, and penetration tests. Our infrastructure is hosted in ISO/IEC 27001-certified data centers with physical security controls, redundant power, and continuous availability monitoring.

In the event of a data breach that affects your data, we will notify you within seventy-two hours of becoming aware of the incident, in accordance with GDPR and applicable regulations. The notification will include the nature of the breach, the categories and approximate volume of data affected, and the measures we have taken or plan to take in response.

8. AI Assistant and Data Privacy

The DAXTOP AI assistant is designed to operate entirely within the boundaries of your account data. It answers questions by analyzing the sales, inventory, and operational data that you and your team have entered into the platform. It does not have access to the internet, to other customers' data, or to any external data source.

Queries submitted to the AI assistant are processed in real time to generate responses. The content of queries may be temporarily cached to support response continuity within a session. Logs of AI interactions are reviewed in anonymized form by DAXTOP's engineering team to identify errors, improve accuracy, and develop new features. Individual queries are never reviewed in a way that identifies the specific business or user who submitted them.

DAXTOP does not use your business data or AI interaction content to train shared or public machine learning models. Your data remains isolated within your account environment at all times.
