Trip management built around the appointment

Every non-emergency medical trip starts with a time someone has to be somewhere. DAXTOP takes requests from every channel into one queue, verifies eligibility and authorization before the vehicle is committed, and turns them into manifests that respect the appointment window rather than the convenience of the route.

The complete trip management suite

From the first call to the finished manifest — everything a scheduler touches, in one screen.

Multi-channel trip intake

Phone, member portal, facility request, API, and broker feed all land in the same queue with the same required fields, so nothing depends on which door the trip came through.

  • Phone, portal, and API intake
  • Consistent required fields
  • Duplicate trip detection

Standing orders and recurring trips

Dialysis, infusion, and therapy schedules are created once and generated forward automatically, with holiday rules, suspensions, and end dates handled without a scheduler rebuilding them each week.

60%of volume is recurring
Eligibility and prior authorization

Coverage, benefit limits, and authorization numbers are checked at intake and attached to the trip, so an unauthorized ride is caught before a vehicle is committed to it.

Will-call and return trips

Open-ended returns stay visible in a dedicated queue and convert to live trips the moment the facility or member calls ready, with a target pickup time the dispatcher can actually commit to.

Manifest building and release

Next-day runs are built in minutes rather than an evening of manual planning, reviewed on a map, adjusted by drag and drop, and released to drivers with every change logged.

Stop rebuilding the same schedule every week

Let recurring trips generate themselves and give your schedulers their evenings back.

NEMT software applications, explained

DAXTOP NEMT software covers the five things a non-emergency medical transportation operation does every day. Trip management takes requests from phone calls, member portals, facility coordinators, an API, or a broker feed into one queue with the same required fields, verifies coverage and prior authorization before a vehicle is committed, and generates recurring dialysis, infusion, and therapy schedules forward automatically instead of asking a scheduler to rebuild them each week.

Dispatch and routing turn that queue into a day that survives contact with reality. Every vehicle, run, and unassigned trip sits on one board; AI routing sequences multi-load runs against appointment windows, traffic, and load times, and re-plans continuously as cancellations, delays, and same-day requests arrive. Level of service is enforced rather than remembered: an ambulatory trip, a wheelchair trip, a stretcher transfer, and a bariatric trip each reach a vehicle equipped for it and a driver whose securement training and license are current.

Billing and claims close the loop that decides whether the work was worth doing. Each funding source — Medicaid fee-for-service, a managed care plan, a broker contract, a facility account, private pay — is configured once with its own rate schedule, documentation requirements, and claim format. Completed trips generate claims with loaded mileage, modifiers, signatures, and odometer readings already attached, get validated before submission, and land on a denial worklist with the reason attached when a payer pushes back.

Fleet and compliance keep the contract: driver credentials with expiry dates that block assignment, vehicle capability profiles and preventive maintenance intervals, geofenced pull-out and pull-in events that give payroll verified hours, and pre-trip inspections logged in the app. Member experience protects the appointment: mobility notes and facility entrances stored once, automated confirmation and arrival notifications by text, voice, and email, self-service booking, and no-show prevention with the documentation a payer contract requires.
